Terms of service
The agreement between you and {{company.brand}} for using ActiveTwin. In short, ActiveTwin drafts and recommends, and you decide and submit. Your content stays yours, and you can leave and take your data at any time.
1. The agreement
These terms are a contract between you and Stem Unit EOOD, Lilia 11 Str., 1614 Sofia, Bulgaria, company number 208760530 ("Stem Unit", "we"), for the use of ActiveTwin at https://www.activetwin.com ("ActiveTwin", "the service"). By creating an account you accept them. The privacy policy explains how we handle your personal data.
2. Your account
- You must be at least 16 years old and give a working email address.
- One account per person. Keep your password to yourself; turn on two-factor authentication if you can.
- You are responsible for what happens in your account. Tell us at [email protected] if you think someone else used it.
3. What ActiveTwin does, and what it does not
ActiveTwin keeps your career library, builds CVs from it, finds and scores job postings against your search profiles, keeps your applications in order, analyses interviews and coaches you.
It drafts and recommends; you decide and submit. ActiveTwin never applies to a job, sends a message or accepts anything in your name. Scores, drafts and advice come from AI models and can be wrong or incomplete. Review everything before you use it. You are responsible for what you send to employers.
We do not promise that you will get interviews or a job, and we are not an employment agency.
4. Your content
What you upload or write (CVs, your career library, notes, recordings, answers) stays yours. You allow us to store, process and show it, and to send it to the service providers that run the features you use (see the privacy policy), only to give you the service. This permission ends when you delete the content or your account.
You confirm that you have the right to use what you upload, and that it is accurate. CVs and cover notes are built from the facts in your library; do not add claims you cannot stand behind.
5. Recordings and other people's data
Upload a recording of an interview only if everyone in it agreed to be recorded and recording is lawful where you and they are. The app asks you to confirm this each time. Interview notes and feedback can name other people; keep to what you need for your own preparation, and do not share it outside ActiveTwin.
6. Acceptable use
Do not:
- use the service against the law or other people's rights;
- access it by automated means (scraping, bots), try to get around limits, or test its security without our written permission;
- copy, resell or republish the job postings shown to you; they belong to the employers and the job boards, and each links to its original;
- upload malware, or content that is unlawful, misleading or harmful;
- use the AI features for content that is hateful, harassing, sexual, violent or otherwise against the usage policies of our AI providers, or try to make the AI do what it is not meant to do (for example, with instructions hidden in a CV or a job posting);
- upload a profile photo that is not a portrait suitable for a CV;
- share your account or resell access to the service.
How we keep the service safe. Profile photos are checked automatically before we store them; a photo that fails the check is not stored. Our AI providers check what is sent to them and can decline a request. When several of your requests are declined, or several of your photos fail the check, within a day, the AI features of your account are paused automatically. The rest of the service, your data and its export stay available. We tell you by email with the reason, a person reviews every pause, and you can write to [email protected] if you think it is a mistake.
We may suspend an account that breaks these rules, after a warning unless the harm is serious or urgent. To report content or behaviour that breaks them, write to [email protected].
7. Job postings
Jobs come from company career sites and job boards that publish them (see job sources). We show them with a link to the original but do not check them and are not responsible for their content or for the employers. Apply on the employer's site, under its terms.
8. Plans, tokens and codes
- The Free plan costs nothing and has monthly limits. Paid plans give more; their current limits and prices are on the pricing page.
- AI features use tokens. Monthly tokens refill each period and do not carry over; tokens from a token pack do not expire while your account exists. Tokens have no cash value and cannot be transferred.
- A promotion code (for example a beta code) can give a plan for a set time or tokens. When a free plan period from a code ends, your account moves to the Free plan; nothing is deleted.
- Inviting friends.
- You have a personal invitation link. Someone who signs up with it gets 20% off their first payment (a plan or a token pack), if they pay within 90 days of signing up.
- When that first payment has not been refunded or disputed 14 days later, you get 10,000 tokens, at most 10 times a month. Tokens added this way are not taken back.
- When one of your applications first reaches Offer, you also get a gift: a free month of the Basic plan for up to five people who do not have an account yet. They count as invited by you.
- Invite real people. We may withhold discounts and rewards obtained with accounts made to collect them, and we may change or end these offers for the future; what you already received stays yours.
- We may change plans and prices for the future. A change to a paid plan you have takes effect at your next renewal, after at least 30 days' notice by email.
8a. Payments
- Who sells. Paid plans and token packs are sold by our payment provider Polar (Polar Software Inc.) as the merchant of record: it takes the payment, charges VAT where it applies, and sends your receipts and invoices. Its buyer terms apply to the payment itself. Prices are in euros; the checkout shows the final price including VAT.
- Renewal. A plan is paid monthly in advance and renews automatically every month until you cancel it. Cancel any time on the Subscription page: the plan stays until the end of the paid period, then your account moves to the Free plan. Nothing is deleted.
- Changing plans. A higher plan starts at once, and the difference for the rest of the period is charged at once. A lower plan also starts at once; the time you paid for and do not use is credited on your next invoice. Over-limit items stay readable; search profiles over the new limit are paused.
- Failed payments. If a renewal cannot be charged, your plan stays while Polar tries again over the following days and we tell you by email. If it still fails, the plan ends and your account moves to the Free plan.
- Your right of withdrawal. If you are a consumer in the EU, you can withdraw from a purchase within 14 days without giving a reason. At checkout you ask us to start at once:
- for a plan, you keep the right of withdrawal, but if you withdraw you pay for the time already used; the right ends once the service has been fully provided;
- for a token pack, you agree that the right of withdrawal ends when the tokens are added to your account. To withdraw, write to [email protected] within the 14 days; the refund goes back through Polar.
- Refunds. Apart from a withdrawal, paid time is not refunded, except where these terms or the law say otherwise (section 10). When a token pack is refunded, its tokens are taken back. When you withdraw from a plan, it ends and your account moves to the Free plan.
9. Availability and changes to the service
We work to keep ActiveTwin available and your data safe, but we cannot promise that the service is always available or free of errors. Planned maintenance is kept short and, where we can, announced in advance.
We improve the service over time: features can change, and some may be added or removed. If we remove a feature that is a main part of a paid plan you have, we tell you by email in advance; you can then cancel, and the paid time you have not used is refunded.
10. Ending the agreement
You can stop at any time: delete your account in Settings, Privacy. Download your data first if you want to keep it; deletion is immediate and final, and backups expire within the period stated in the privacy policy.
We can end the agreement with 30 days' notice by email, or at once if you seriously or repeatedly break these terms. Paid time you have not used is refunded when we end the agreement without a breach on your part.
11. Liability
We are liable without limit for intent, gross negligence, and injury to life, body or health, and as far as consumer protection law does not allow a limit.
Otherwise, we are not liable for indirect or consequential loss, lost opportunities or lost profits, and our total liability for any claim is limited to the amount you paid us in the 12 months before it arose, or EUR 100 if that is more.
Nothing in these terms takes away rights you have as a consumer under the law of the country where you live.
12. Changes to these terms
We may change these terms to reflect changes in the service or the law. We will tell you by email at least 30 days before a material change takes effect. If you do not agree, you can delete your account before then; continuing to use the service after that date means you accept the new terms.
13. Law and disputes
These terms are governed by the law of Bulgaria. Disputes go to the competent courts in Sofia, Bulgaria. If you are a consumer in the EU, you also keep the protection of the mandatory law of your country and can bring a claim where you live.
Please write to [email protected] first; most problems are solved that way. As a consumer you can also turn to an alternative dispute resolution body: in Bulgaria, the conciliation committees at the Commission for Consumer Protection (kzp.bg), or the body of the country where you live.
